Who we are
Canine Capabilities is the trading name of Kirsty Addy, a sole trader, providing dog training and behaviour services in Yorkshire through this website (caninecapabilities.co.uk) and a secure client portal. What we collect and why
To deliver your training service (performance of our contract with you): your account details (name, email, phone, address and postcode — used to plan home visits and travel); your dog’s profile including breed, age, health conditions, medication, behaviour history and bite history (collected through the pre-consultation form because behaviour work cannot be done safely without it); booking records, cancellation records and any late-cancellation charge decisions; package entitlements and session-credit history; training goals, progress notes and homework; resources assigned to you and whether you have viewed or completed them; messages and notifications we send you about your service (booking confirmations, reminders, progress updates).
Because we are required to (legal obligation): records of your acceptance of our Terms and Conditions and any statutory consents (such as requesting early service within the 14-day cancellation period), complaint records, and financial records including refunds and cancellation charges.
In our legitimate interests: portal security records (login attempts, audit logs of changes to your records), trainer-private working notes that support your dog’s programme, and basic technical logs kept by our hosting provider. We balance these against your rights; none are used for profiling or advertising.
Only with your consent (always optional, always withdrawable): marketing emails; use of photographs or video of your dog (each use — internal review, education, social media, website, print — is a separate choice); testimonials. Withdrawing consent never affects your service. We do not make marketing a condition of anything.
Behaviour and health information about your dog, and any health context you choose to share about cancellation reasons (for example an emergency), is used only for the decision it was provided for and is visible only to management.
Who we share it with
We use a small number of processors to run the service: IONOS (website and portal hosting, EU/UK data centres); Microsoft 365 (business email — booking and account emails are sent through Exchange Online); Cloudflare Turnstile (spam protection on the public contact form). Public pages show a Facebook reviews widget, which loads content from Meta; this only appears on the public site, never inside the portal. We do not sell data, and no third party receives your dog’s behaviour records for their own purposes.
How long we keep it
We keep personal data only for as long as necessary. Client and dog records are kept for the duration of your training relationship and then only as long as needed to meet legal obligations (contractual and financial records, including terms-acceptance and cancellation-charge records, are typically kept up to 6 years). Audit logs and security records are kept for a proportionate period. Marketing consents last until withdrawn.
Mentorship Programme participants
If you apply for or join the Canine Capabilities Mentorship Programme, we additionally process: your application (professional background, qualifications, goals, and whether you are enrolling mainly for personal or business purposes); your Programme Schedule, contract pack, terms acceptances and required consents (contract performance and legal obligation); payment-plan records and payment status (contract and legal obligation); session bookings, attendance and cancellation records; mentoring notes, submissions you upload, feedback and reasoned progression decisions (contract); confidentiality and shadowing acknowledgements, and records of which client cases you were authorised to observe, including access expiry (legitimate interests in protecting client data, and legal obligation); complaints and withdrawal calculations; and accessibility information you choose to share, which we treat with extra care, minimise, and use only to support your participation. Client-case information you observe remains the client’s data: it is minimised, access is time-limited and logged, and client permission is recorded and withdrawable.
Your rights
Under UK GDPR you can ask for access to your data, correction, erasure, restriction, portability, and to object to processing based on legitimate interests. You can withdraw any consent at any time (most can be changed directly on your portal Profile page). You can complain to the Information Commissioner’s Office (ico.org.uk). To make any request, email kirsty@caninecapabilities.co.uk — we will respond within one month.
Cookies
The portal uses only essential cookies: WordPress login/session cookies that keep you signed in securely. The public website sets no analytics or advertising cookies. The contact form uses Cloudflare Turnstile for spam protection (essential/functional). If we add analytics or marketing tools in future, we will ask for consent first and update this policy.
Website comments and media
If comments are enabled on any page, the comment form collects the data shown plus your IP address to help spam detection. Avoid uploading images with embedded location data.
